Equipment Rental and Staging

We provide sound, lighting, projection, video, photobooths, and interpretation systems to support conference rooms of any size. Where an event calls for simultaneous interpretation alongside its AV production, we coordinate interpretation booth and headset rental directly with our interpretation team, so booth placement, cabling, and audio routing are planned into the room layout from the start rather than added as an afterthought. Our coordination team will make sure we understand all of your technical requirements, or can help you decide on the equipment and rental package that best suits your event.

On-Site Technical Support

During the setup phase, our team will make sure everything is to your liking, functional, and presentable for your audience. We provide complete on-site technical support from setup through live operation. Our technicians manage calibration, live monitoring, lighting adjustments, platform connectivity, and real-time troubleshooting, ensuring smooth execution while allowing you to focus on your event rather than the technology. From the first email to tear down, we work with you to make your event as easy and smooth as possible.

Accessibility-Ready Production

Our experience with accessibility and interpretation can help make all your guests feel welcome. That includes planning sightlines and audio routing for sign language interpreters, reserving clear space for interpretation booths, and coordinating with our closed captioning team when an event needs live captions displayed on the main screen or streamed to individual devices.

For venues we've worked in before across Ottawa-Gatineau, this process is often quick, since we already know the room; for a new venue, we build in extra planning time to walk through logistics properly.

Frequently Asked Questions

Do you work in venues across the wider Ottawa-Gatineau region, or only downtown Ottawa? We provide equipment rental and technical crews at venues throughout Ottawa-Gatineau and the National Capital Region, including hotels, conference centres, government facilities, and private venues on both sides of the river.

Can you supply AV equipment only, without a technical crew? For clients with their own AV operators, we can supply equipment rental on its own. Most clients, however, prefer our full-service option, since it includes setup, live monitoring, and teardown handled by our technicians.

What's Included in a Full AV Package

A typical in-person AV package covers sound reinforcement (speakers, microphones, and mixing), projection or LED display for slides and video, lighting for stage and audience areas, and, where needed, camera and recording equipment for capturing the session. We scope each of these independently based on your room and program, so a small executive briefing gets a lean, appropriately sized setup rather than an oversized production, while a large conference gets the redundancy and channel capacity a bigger room and audience actually require. Delivery, setup, live operation, and teardown are handled by our technicians throughout, and where your event also needs interpretation booths, photobooths, or live captioning, we plan those directly into the same floor layout and equipment schedule.
